How you'll make a difference

In this newly created post, you will be a valued member of the Transformation & Efficiency Team, providing administrative tasks for a variety of projects undertaken by individual project managers. You will support in the setting up of project meetings, appointments, maintaining databases and records, collating and analysing information for reports and maintain accurate records. You will also monitor the programme office mailbox, take minutes, support with documentation and project work, prioritising queries and co-ordinating responses to customers, colleagues and stakeholders. 

This is a 12 month Limited Term Contract or internal secondment opportunity
 

What will you be doing?

  • In the role you will provide administrative support to managers and the team, ensuring work carried out is efficient and that procedures are effectively implemented.
  • On a daily basis you will support the delivery of designated projects by co-ordinating day to day operations such as managing diaries, documents and correspondence, arranging meetings and workshops, drafting agendas, recording detailed minutes for meetings and support in the preparation and delivery of presentations.
  • You will research information for the transformation team and collate evidence for presentation in reports, which may include drafting sections of documents for wider business use.
  • You will provide an effective administration service, ensuring that documents are prepared and that you collate and maintain records and analyse information producing accurate statements and retrieving data from computerised systems.
  • As a point of customer contact for the service area, you will deal with enquiries and provide effective communication and information requests, interacting with customers, colleagues and partners to maintain strong working relationships.

What we need from you

  • You will hold a minimum qualification of 3 grade C’s at GCSE (or equivalent qualification) including English and Maths or be able to demonstrate an equivalent level of skill.
  • You must have previous experience of working in an environment related to the service area or within a similar role and it would be useful to have a knowledge of the relevant processes and procedures.
  • It is essential that you have good literacy skills, confident in letter writing and providing information for reports with the ability to prioritise and meet deadlines.
  • Good numeracy skills are required with the ability to seek out data information, collate it and present findings.
  • To be successful in this role you will have excellent organisational and administrative skills and proficient in MS Office - word, excel with a good attention to detail.
  • You must be a good communicator with excellent spoken skills and the ability to establish good working relationships.
